ESSENTIAL RESPONSIBILITIES:

  1. In coordination with project managers and project engineers, establishes and maintains document control systems for multiple engineering projects
  2. Develops and implements document control database/spreadsheets for each engineering project to provide for the most efficient retrieval of documents
  3. Scans and accurately files documents including electronic and paper versions
  4. Performs document searches and retrieves documents from document control data base and paper filing system
  5. Produces paper copies of documents as required
  6. Develops and implements a document distribution matrix for each project
  7. Distributes various project documents and develops and maintains document distribution logs
  8. Develops and implements protective measures concerning access to confidential or security sensitive project records and files
  9. Proposes new procedures as appropriate to improve efficiency
  10. Follows up and collaborates with project managers, and engineers to advise regarding project correspondence and other related matters delegated for action or response
  11. Prepares a variety of drafts and finished documents, which may include technical content, legal content and terminology, related to the department’s project document control activities , materials for meetings, presentations, and operating manuals
  12. Periodically and on a consistent basis reviews project files and corresponding document control systems with project managers and engineers
  13. Prepares and reviews a variety of periodic, technical and special reports regarding project activities, which may require research, compilation of data, designing forms, and ascertaining project status from various sources
  14. Regular and reliable attendance and performance is required

REQUIRED KNOWLEDGE, ABILITIES AND SKILLS:

  1. Demonstrated skills in records management
  2. Ability to use CAD related software (AutoCAD/Solidworks/Creo)
  3. Ability to use office equipment required in the course of work such as scanners, network computer systems, copiers, etc.
  4. Ability to effectively multi-task in an environment with frequent interruptions and changing priorities
  5. Ability to organize work, set priorities, meet critical deadlines and follow up assignments with a minimum of supervision
  6. Ability to understand and rapidly respond to a broad range of demands concerning document control for multiple projects
  7. Ability to read and understand technical documents for the purpose of document control activities
  8. Strong problem solving skills
  9. Ability to be creative, innovative and self-motivated
  10. Ability to maintain confidentiality and protect information and documents appropriately
  11. Ability to work as part of a team using excellent professional interpersonal skills
  12. Ability to manage assignments in a positive, effective manner while maintaining adherence to deadlines, policies and procedures
  13. Knowledge of business grammar including spelling, grammar, punctuation and vocabulary
  14. Ability to analyze and adjust an establish document control system to provide the most effective and efficient document control for each specific project
  15. Ability to use tact, discretion, initiative and independent judgment in establishing and maintaining cooperative, effective and productive professional working relationships with all encountered in the course of work
  16. Excellent oral and written communications skills and the ability to interact effectively with personnel at all levels
  17. Ability to recommend and implement process improvement procedures
  18. Ability to work under deadline pressure and maintain a calm demeanor and efficiency during emergencies or other stressful situations
